Job Summary:
The Food Service Bookkeeper is responsible for managing the financial and administrative operations of the school district’s food service program. This position ensures accurate recordkeeping, reporting, and compliance with state and federal regulations. Strong computer skills are essential, particularly in accounting software, spreadsheets, point-of-sale (POS) systems, and state reporting platforms.
Essential Duties and Responsibilities:
- Maintain accurate financial records for all food service accounts, including revenues, expenditures, reimbursements, and inventory.
- Prepare monthly financial reports for internal use and submission to the state as required.
- Process vendor invoices, track purchase orders, and ensure timely payment of bills.
- Reconcile meal program accounts.
- Manage student account balances, process payments, and address discrepancies with parents or guardians.
- Maintain and update the food service point-of-sale (POS) system and generate related reports.
- Assist in preparing and submitting reports for federal and state reimbursement programs (e.g., NSLP, CEP).
- Coordinate with auditors to ensure documentation and records are accurate and audit-ready.
- Support the Food Service Director in budgeting and forecasting.
- Assist Food Service Director with menu production records and forecasting of meal preparation.
- Communicate with staff, vendors, and district administration regarding food service operations.
- Provide clerical and administrative support as needed, including preparing correspondence and maintaining filing systems.
- Assist Food Service Director with scheduled promotional events, including the design of marketing materials.
- May have to assist in the kitchen during lunch from time to time (e.g. working the POS system)
Required Skills and Qualifications:
- Associate degree or coursework in accounting or business preferred.
- Minimum of 2 years of bookkeeping, accounting, or administrative experience—preferably in a school or food service setting preferred.
- Proficiency in Microsoft Office Suite (especially Excel), Google Workspace, and accounting software.
- Experience with point-of-sale (POS) systems and school nutrition software (e.g., Meal Magic) preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks, meet deadlines, and maintain confidentiality.
- Excellent communication and interpersonal skills.
Working Conditions:
- Office environment within a school district setting.
- Occasional lifting of files, boxes, or supply orders (up to 50 lbs).
- Daily computer use and frequent interactions via phone and email.
Terms of Employment:
- Central Office position.
- Hourly wage/salary to be determined based on experience and district guidelines.
