The position of a Student Records / Data Clerk will be available immediately at East Central ISD. All individuals (district employees included) who are interested in this position must apply online through Frontline via the district website. PRIMARY PURPOSE: Responsible for maintaining student records at the campus level. Process student enrollment transfers and withdrawals for the campus.

ESSENTIAL JOB FUNCTIONS:

Prepare transcripts and mail out.
Request records from other schools through TRex, email or fax.
Prepare records to be sent out to other schools.
Input new/transfer students into the system.
Call other schools to verify student enrollments.
Organize and keep track of files.
Assist counselors/administration with requests as needed.
Attend meetings regarding no shows/withdrawals.
File paperwork, fax and copy documents, answer phones and emails.
File student report sheets on student testing (TAKS, EOC, PSAT, Pre ACT, ACT and SAT).
Key and verify results according to procedures provided.
Recognize and correct errors in original data prior to processing.
Recognize deficiencies in source documents and return them to the originator for correction.
Administers data processing registration in the computer.
Researches and verifies the address of all returned mail.
Enters all demographic information on all new students and updates withdrawals as required.
Help distribute report cards and progress reports.
Prepare and distribute University Scholastic League (UIL) eligibility lists.
Maintain confidentiality of student’s information.
Have regular attendance.
Perform other duties as assigned.

MINIMUM QUALIFICATIONS:

Education/Certification:
High school graduate or equivalent
Special Knowledge/Skills:
Ability to maintain accurate and auditable records
Ability to use software to develop or maintain spreadsheets and databases and do word processing
Proficient keyboarding and file maintenance skills
Basic math skills
Strong organizational, communication, and interpersonal skills
Experience:
3 years clerical experience

EQUIPMENT USED: Standard office equipment including personal computer and peripherals

WORKING CONDITIONS:  Mental Demands/Physical Demands/Environmental Factors: Work with frequent Interruptions; maintain emotional control under stress. Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching. Occasional light lifting and carrying (less than 15 pounds). May work prolonged or irregular hours.

PERIOD OF EMPLOYMENT: 210 days-basis
