WORK YEAR:	25/26 School Year - 40 hours/week, 10 months/year

General Summary
In accordance with the established policies and procedures of the East Lansing Public School District, the Elementary School Administrative Assistant is responsible for providing administrative support to the principal, staff, school officials, and parents. Additionally, provides assistance to students with physical and administrative needs.
About the Role
Acts as the primary office contact and provides supervision of student discipline problems in the absence of building principal. Supervises activities of aide(s) and parents in the handling of daily office procedures and special activities. Maintains principal's calendar. Maintains faculty personnel files and types staff evaluations. Enrolls new students, maintains and updates student records, communicates enrollment changes to all staff members affected as quickly as possible and prints student reports. Responsible for accurate pupil accounting procedures established by state mandate and prepares September and February Count enrollment/reports. Provides certification letters for international families. Contacts parents/guardians in the event of unreported child absence, injury or emergency and other situations as needed. Maintains daily attendance records in Power School. Prepares biweekly parent newsletter and weekly staff newsletter. Schedules and maintains records for after hour facility use and maintains school calendar. Prepares biweekly payroll, schedules substitutes, and contacts sub service. Maintains log of staff absence and use of vacation and personal business days and communicates information to the principal. Maintains free and reduced lunch lists. Administers medication and handles injuries, illnesses and emergency situations in the clinic. Logs students in and calls parents. Maintains immunization records on students and updates as needed. Types, checks in and distributes purchase orders and maintains inventory for school and staff. Assists professional staff with typing/clerical tasks and types certificates and programs for various school activities. Assists PTO (parent volunteers, carnival, ice cream social, etc.). Processes bus requests/field trips. Maintains key inventory. Maintains inventory of copier supplies and maintains copier for minor jams and service needs. Participates on committees (social, fine arts, school improvement, etc.). Attends staff meetings and takes minutes as requested. Completes annual projects: Student and faculty handbooks, carnival, open house, year-end programs (i.e., Festival of Cultures/International Night), school pictures, telephone tree, and kindergarten roundup). Maintains petty cash fund. Performs receptionist responsibilities. Engages in correspondence and phone contact with a variety of audiences. Performs basic office tasks including typing, copying materials, opening and sorting mail, filing, proofing, phone skills, bookkeeping/accounting and letter writing. Assumes responsibility for handling nonroutine matters by interpreting established policies, providing information and making decisions within prescribed limits and brings potential problems to the attention of the supervisor. Performs other duties as assigned and is available to work overtime, as needed.
Education, Knowledge and Skills Required
Student data entry and report generation. Proficient in use of: Computer, printer, Micro-Soft Word for Windows, E-Mail, Excel, calculator, typewriter, copy machine, stapler, shredder, FAX machine, telephone and intercom. Assessment testing in: typing (60 WPM), grammar, spelling, proof reading, Excel. Lifting (approx. 60 lbs), bending, legible writing. High school diploma plus 3 to 5 years’ experience in secretarial work for executive personnel, preferably in a school setting. Demonstrated ability to effectively communicate verbally and in writing to a variety of audiences. Demonstrated strong relationship interpersonal skills with students, parents, and staff.
