Position:             Middle High School Secretary / Administrative Assistant to the Principal
Annual - 230 days

 

Starting Wage:   Compensation will be based on experience and qualifications in alignment with the Support

Staff Handbook, Secretary - Level 2 Pay Schedule

 

Location:            River Valley Middle High School

 

Reports To:        MHS Principal

 

 

Position Overview

The Middle High School Secretary/Administrative Assistant to the Principal is a cornerstone of the efficient operation and welcoming atmosphere of the River Valley Middle High School office.  This position provides comprehensive administrative support to the Principal, coordinates office operations, and serves as the hub of communication for students, staff, parents, and the broader community.

 

This role is aligned with the River Valley School District Strategic Plan, supporting its mission to engage, empower, and elevate the potential of every individual in the school community.  With a focus on the district's values of integrity, respect, responsibility, kindness, innovation, and determination, the Administrative Assistant embodies professionalism and fosters positive relationships while ensuring confidentiality and exceptional service.

 

As a vital member of the school team, the Secretary/Administrative Assistant adapts to the dynamic needs of the school environment with a proactive and solutions-oriented mindset.  This role involves managing priorities with flexibility and dedication while maintaining a high standard of work.

 

QUALIFICATIONS

Required

ü  High school diploma with at least one year of related experience or training in a similar position.

ü  Proficiency in Google Suite (Docs, Sheets, Forms, Calendar, etc.), PowerSchool, and social media platforms.

ü  Strong grammar, spelling, word processing, and communication skills.

ü  Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.

ü  A commitment to working with children in a firm, fair, and friendly manner, serving as a role model and office representative.

ü  Professionalism, integrity, and kindness in every interaction, aligned with district values.

ü  Ability to maintain strict confidentiality and handle sensitive information with discretion.

ü  Strong interpersonal skills to foster collaboration and positive relationships.

ü  Competence in problem-solving, decision-making, and taking responsibility for outcomes.

ü  Flexibility to work evenings and summer hours as needed.

ü  Familiarity with state and federal educational reporting standards in Michigan.

ü  Experience coordinating events, newsletters, or community outreach activities.

ü  Basic accounting skills for managing building budgets and student funds.

ü  Ability to perform social media background checks/research and manage/monitor building Facebook and social media posts/content.

 

Preferred Experience

ü  Experience with desktop publishing or design tools (e.g., Canva, Adobe).

ü  Knowledge of effective social media publishing and analytics.

 

 

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

General Administrative Support

ü  Manage daily office operations, ensuring efficiency and organization.

ü  Provide direct administrative support to the Principal, assisting with correspondence, scheduling, and office management.

ü  Address routine and urgent matters involving staff, students, and parents with professionalism.

ü  Maintain office areas, ensuring they are clean, organized, and fully stocked.

 

Communication and Coordination

ü  Manage the Mustang Minute weekly calendar/newsletter and the Mustang Roundup monthly parent newsletter.

ü  Develop engaging social media content aligned with district branding.

ü  Coordinate schedules, meetings, and events, ensuring timely communication.

ü  Collaborate with departments and community groups to ensure efficient planning and communication for school events.

 

Customer Service Skills

ü  Serve as the primary point of contact for parents, students, and community members, handling inquiries with courtesy and professionalism.

ü  Manage complex situations with tact and patience, maintaining a focus on resolution.

ü  Demonstrate strong de-escalation skills in challenging interactions.

 

Data and Records Management

ü  Maintain accurate records for attendance, grades, enrollment, and student demographics.

ü  Process student registrations and ensure compliance with reporting standards.

 

Event Coordination and Support

ü  Plan and organize school events, including Graduation, Prom, Picture Day, and parent-teacher conferences.

ü  Oversee building use schedules and provide logistical support for activities.

 

Administrative and Financial Tasks

ü  Process purchase orders, track budgets, and oversee office supply orders.

ü  Coordinate substitute scheduling and maintain volunteer lists.

 

Student Support

ü  Provide care for sick or injured students and communicate with parents as needed.

ü  Dispense medication and ensure adherence to health and safety guidelines.

 

Other Responsibilities

ü  Prepare materials for school communications and events.

ü  Maintain organized filing systems and accurate records.

ü  Take on additional responsibilities as assigned by the Principal.

ü  Other duties / special projects as assigned.
