This posting is for a District-wide Associated Student Body (ASB) Bookkeeper at W.F. West High School. The position is 7.5 hours per day, 5 days per week, 203 days per year, which includes 180 school days, 5 days before the school year starts (4 days during high school registration week and 1 day District Day), 5 days after the school year ends, 1 day the first week of July, 1 day the first week of August, and 11 paid holidays. The anticipated schedule is 7:00 am to 3:00 pm. The anticipated start date is August 18, 2025.

Position Summary:

The purpose of the Associated Student Body (ASB) Bookkeeper is to support the financial functions of the District-wide ASB; conveying and updating fiscal information; and ensuring that revenues are generated, expenses are within budget limits and fiscal practices are followed.

Essential Job Functions:

Prepares reports and schedules (e.g. budget worksheets, District Office reports, ASB-related W-9, etc.) for the purpose of meeting deadlines and complying with district, state, and federal guidelines
Implements reporting procedures and internal controls for the purpose of maintaining accurate records, (e.g. reconciliation of fundraisers, daily deposits, etc.)
Informs personnel (e.g. advisors, coaches, students) regarding various procedures and program requirements for the purpose of providing necessary information for making decisions, taking appropriate action and/or complying with established fiscal guidelines
Supervises student ASB officers (e.g. attending ASB meetings, scheduling student ticket takers, ensuring proper signatures are gathered for ASB documents, etc.)
Records retention of ASB documents (e.g. maintain all records of current ASB constitutions, meeting minutes and voting records of election results, accounts payable, etc.)
Monitors fund balances of assigned programs and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and fiscal practices are followed
Prepares documentation (e.g. reports, schedules, correspondence, etc.) for the purpose of providing written support and conveying information
Processes and maintains various fiscal information (e.g. accounts payable/receivable, etc.) for the purpose of updating information, authorizing final action, and complying with accounting requirements
Receipts and tracks student fees (e.g. fees and fines, class fees, event tickets, etc.)
Prepares and reconciles gate/cash boxes for school events
Prepares cash deposits from school activities for the purpose of making bank deposits
Reconciles account balances (e.g. imprest accounts with bank statements, cash/check/credit card receipts, ASB accounts, etc.) for the purpose of maintaining accurate account balances and complying with related policies, practices and regulations
Researches discrepancies of financial information and documentation (e.g. purchase orders, invoices, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing for action
Compiles, prepares, and inputs the ASB budget for all buildings following ASB guidelines
Attends relevant ASB training, summarizing and creating processes to implement required changes
Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities

Job Requirements - Qualifications:

Experience Required: Prior job-related experience in bookkeeping, accounting, financial or statistical records maintenance; knowledge of the InTouch Point of Sale, Skyward, and WSIPC systems preferred.

Education Required: High School diploma or equivalent; two (2) years of college with an emphasis on accounting or business administration preferred.

Licenses, Certifications, Bonding and/or Testing Required:

Bondable
Criminal Justice Fingerprint/Background Clearance (cost paid by applicant)
Satisfactory performance on a comprehensive skills test

Skills, Knowledge and/or Abilities Required:

Skills to use computers and accounting applications, maintain records, apply basic accounting practices.
Knowledge of basic accounting practices, problem solving methodology, and modern office methods.
Abilities to sit for prolonged periods, think logically with attention to detail, prepare clear and accurate reports. Significant physical abilities include reaching/handling, manual dexterity, talking/hearing conversations, near/far visual acuity/visual accommodation.

Employee Compensation and Benefits are outlined in the Teamsters Local 252 Bargaining Agreement.
