Description:

GENERAL SCOPE OF RESPONSIBILITIES:

Performs all accounts payable processing and reporting for District’s main fund accounts. Processes accounts receivable receipts.

ESSENTIAL FUNCTIONS:

Accounts Payable

Organize and process vendor invoices for payment with appropriate backup for assigned fund accounts.
Process payments to vendors timely to insure maximization of District funds and utilize allowable discounts when possible.
Liquidate vendor purchase orders as payments are processed.
Reconcile outstanding balances on vendor statements with District records.
Maintain complete vendor files physically and electronically including payment information, copy of invoices, appropriate backup and W-9 forms.
Prepare and distribute completed 1099 forms to appropriate vendor and upload Summary Report to Internal Revenue Service.
Upload monthly credit card transactions and post payments to accounting system.
Enter and post vendor ACH and wire transactions.
Prepare and provide new vendor list for review.
Update payroll accounts payable wire batches as needed.
Assist all levels of District personnel to provide proper documentation for payments.

General Ledger Accounting

Financial Management System and Reports

Create and maintain accounting reports for assigned fund accounts.
Prepare list of bills, monthly and quarterly reports for assigned fund accounts for Board approval.
Prepare periodic and special request reports for assigned fund accounts.
Maintain subsidiary lists separately from accounting system for special accounts and District programs including laptop insurance and restitution, commissions, and utilities.
Close fiscal year in accounting system including review and resolve any outstanding batches and open purchase orders.
