This posting is for a Support Secretary at the Chehalis School District office. The position is 227 days per year, including holidays. This position is 6 hours per day, approximately 8:30am to 3:00pm. This position will not work Winter Break, Spring Break or the month of July. This position is open until filled.

Description:

This position serves as a key point of contact for staff, families, and community members, communicating effectively to promote a positive district image and convey information regarding district procedures. The District Office Support Secretary provides professional, confidential administrative and clerical support to assigned district administrators to ensure the efficient operation of the district office.

The role requires discretion and strong attention to detail in supporting financial, legal, and administrative requirements; maintaining accurate and confidential records; coordinating communications and schedules; and assisting with the day-to-day operational functions of the district office.

EXAMPLES of DUTIES:
Essential Job Functions:

Serve as the initial point of contact for students, staff, families, and community members; provide professional and responsive customer service.
Provide accurate information regarding district procedures and route inquiries to appropriate staff or departments; manage incoming calls and messages.
Prepare, format, and distribute correspondence, reports, forms, brochures, and other materials in both electronic and hard copy formats.
Responsible for districtwide food service program support including but not limited to processing school meal program applications and direct certifications, annual application verification process, administrative support for the summer feeding program and electronic benefits transfer (EBT) cards.
Provide administrative and secretarial support to District Office Administrators as needed.
Assist the Human Resources Department with confidential correspondence, recordkeeping, recruitment materials, and other personnel-related tasks.
Receipt and record payments and donations in accordance with district procedures.
Assign motor pool vehicles for trips. Responsible for ensuring driver abstracts and related documents are up to date.
Process volunteer applications or volunteer background checks.
Process flyer requests.
Develop and maintain systems for preparing, tracking, and managing district forms and data.
Maintain office supply inventory and coordinate supply purchases.
Research, compile, calculate, and prepare data and reports to support district operations and central administration functions.
Demonstrate professionalism, tact, and discretion in all interactions.
Effectively manage multiple tasks and frequent interruptions in a fast-paced office environment.
Perform duties with minimal supervision and maintain productivity and accuracy.
Perform other related duties as assigned to support district operations.

Qualifications:

High school diploma or equivalent; post secondary training preferred
Three years applicable secretarial experience required, preferably as administrative support
Proficiency in Google Workspace
Must possess excellent telephone etiquette and techniques; demonstrated public relations skills, both in person and on the phone
Excellent typing/data entry/computer skills and ability to operate all general office machines
Basic math competency
Ability to work independently and complete assigned tasks in a timely fashion
Demonstrate reasonable, independent judgment and an ability to maintain confidentiality
Ability to deal with staff, students, and the public in a constructive manner and to function as a team member
Such alternatives to the above qualifications as the office may find appropriate and acceptable

Evaluation:

Performance of this job shall be evaluated annually by the Executive Director of Human Resources based on the job descriptors and the evaluation criteria. It is understood and acknowledged that employment in the position of District Office Support Secretary shall be exempt and at will, subject to termination with or without cause by the Board, with or without recommendation from the Executive Director of Human Resources or Superintendent.
