This Counseling Secretary position is 5.5 hours per day at W.F.West High School for the 2025-26 school year. Full work year is 190 days: 180 student days plus 10 holidays. The anticipated schedule is 7:30 am to 1:30 pm.

Position Summary:

To assist the counseling center staff at W. F. West High School with tasks involving scheduling, grading, transcripts, scholarships, testing, alternative schools, college information, registration and withdrawal procedures, and relieving counselors of routine clerical tasks.

Essential Job Functions:

Assists students and parents through the registration or withdrawal process making certain that official records are completed and forwarded as necessary
Answers telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages
Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required
Maintains a data base of information needed on each individual student
Processes progress reports requested by student’s parents
Processes documents and materials (e.g. state reports, enrollment information, immunization records, class schedules, attendance reports, etc.) for the purpose of disseminating information to appropriate parties
Monitors available scholarships and assists students in the application process
Performs record keeping and basic clerical functions, scheduling, copying, etc. for the purpose of supporting the counselors in maintaining student files and providing necessary materials

Other Job Functions:

Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities
Confers with teachers, parents and/or appropriate community agency personnel for the purpose of assisting in evaluation of students’ progress and/or implementing of students’ objectives
Participates in various meetings for the purpose of sharing information and/or improving one’s skills/knowledge
Performs essential job functions with or without reasonable accommodation
Completes work at assigned workstation
Consistently deals with people in a courteous and professional manner
Performs other duties as assigned

Job Requirements - Qualifications:

Experience Required: Prior job-related experience with increasing responsibility

Education Required: High School diploma or equivalent

Skills, Knowledge and/or Abilities Required:

Skills to perform basic clerical functions, perform basic arithmetic calculations, operate standard office equipment, including basic computer applications, use English in both written and verbal form, use correct spelling, grammar and punctuation; preferred word processing speed – 55 wpm.
Knowledge of rules and regulations related to assigned school, basic budgeting, financial and statistical record keeping, standard office equipment.
Abilities to sit for prolonged periods, work independently, understand and carry out oral and written instructions, handle frequent interruptions, interact with persons of different age groups and cultural backgrounds. Significant physical abilities include reaching/handling, manual dexterity, talking/hearing conversations, near/far visual acuity/visual accommodation.
