We are seeking a friendly, organized, and dependable individual to serve as the Administrative Assistant at our elementary school starting in the 2025-2026 school year. This key position supports the daily operations of the school office and plays an important role in creating a welcoming and efficient environment for students, staff, families, and visitors. We would like the new administrative assistant to shadow our outgoing administrative assistant to ensure a smooth and successful transition into the role; the start date is flexible to accommodate training and onboarding.

REPORTS TO: Elementary Principal

ESSENTIAL FUNCTIONS:

  • Operates a central telephone system.
  • Receives and greets office callers and refers them to proper persons and offices.
  • Places, receives, and completes long-distance calls.
  • Takes and transmits messages.
  • Gives routine information in response to inquiries.
  • Sorts and distributes incoming mail.
  • Prepares outgoing mail for receipt by post office and other mail carriers.
  • Performs assigned clerical tasks such as filing, typing, preparing forms, and assembling and distributing materials when not engaged in switchboard operations.
  • Student Enrollment
  • Supervise attendance record keeping and report production
  • Monitor student attendance and enforces district policies, state and local laws regarding attendance
  • Maintain communication concerning attendance to students, parents and appropriate local agencies
  • Keep and maintain records as required by supervisor

DESIRED MINIMUM QUALIFICATIONS:

  • No experience is required; however, previous clerical experience is desirable; high school diploma or equivalent; or any combination of training and/or experience that could likely provide the desired knowledge and abilities.
  • Operation of multiple-telephone extension system.
  • Standard office procedures and simple record systems.
  • Operate telephone system at central facility.
  • Perform variety of clerical work involving use of independent judgment and requiring accuracy and speed.
  • Receive and give information over the telephone or in person in a courteous manner.
  • Receive, post, and route mail accurately and promptly.
  • Type proficiently.
  • Handle variety of telephone calls and personal contacts with tact, diplomacy, and discretion.
  • Understand and carry out oral and written directions.
  • Maintain cooperative working relationships with those contacted in the course of work.
  • Ability to handle stressful situations.
  • Ability to maintain confidentiality of employment and student matters.
  • Ability to effectively manage time and responsibilities.

EQUIPMENT USED:

Computer, calculator, copier, telephone/voice mail, fax, central phone system.

WORK ENVIRONMENT:

While performing the duties of this job, the employee regularly works inside. The noise level in the work environment is usually moderate.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is frequently required to sit; occasionally walk and stand. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments. May be required to lift or move up to 10 pounds.

MENTAL/MOTOR DEMANDS:

While performing the duties of this job, the employee often performs routine work. The employee frequently exercises flexibility (ability to shift from one task to another). Guidance and reinforcement are usually available. The employee frequently works within time constraints and maintains attentiveness intensity.
