Overview: The Lewis County Small Schools Cooperative is a collaborative entity formed to provide high-quality special education services to students in Lewis County's small, rural school districts. We ensure the students of Adna, Morton, Mossyrock, Napavine, and Winlock school districts receive the best services available.

The Special Education Secretary provides comprehensive administrative support to all administrators and program staff in the Lewis County Smalls Schools Cooperative. This role is vital in ensuring efficient operations, facilitating communication, and supporting the provision of special education services.

This position will be hired by the Adna School District to serve all of the school districts in the Lewis County Small Schools Cooperative. The physical work location for this position will be based in the Adna School District.

Key Responsibilities:

Administrative Support & Coordination

● Scheduling and prioritizing meetings and appointments as needed.

● Prepare and organize materials for meetings, presentations, and events.

● Organize and coordinate department meetings, including preparing agendas, taking minutes, and following up on action items.

● Assist in planning and organizing special events, workshops, and training sessions for staff, parents, and the community.

Communication Duties

● Serve as the primary point of contact for the Special Education department, handling correspondence, deliveries, phone calls, emails, and inquiries from parents, staff, and external agencies.

● Assess situations, provide guidance, and take appropriate action to support staff.

● Provide professional communication- orally and in writing- that is accurate, concise, and timely.

Documentation & Records Management

● Maintain organized records of student IEPs, assessments, and related documentation in compliance with legal requirements.

● Monitor the flow of correspondence, reports, and information to meet strict timelines.

● Process records requests for internal staff and external partners.

Data Entry, Reporting, & Compliance

● Assist with data entry and generate reports for compliance and program evaluation.

● Track budget expenditures for general fund classroom/building budgets.

● Access and retrieve confidential data from multiple student databases to maintain the accuracy of information across systems.

Purchasing & Resource Management Support

● Maintain and track inventory of office and provider supplies, and technology

● Monitor and process purchasing requests, including receipt of and delivery to staff.

Confidentiality

● Handle sensitive student and staff information with discretion and maintain strict confidentiality.

Preferred Qualifications:

● High school diploma or equivalent; Associate’s degree or higher preferred.

● Minimum of two (2) years of administrative support experience, preferably in an educational or special education setting.

● Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with data entry.

● Bilingual proficiency preferred.

Continuing Educ. / Training

● Maintains Certificates and/or Licenses as appropriate

● Completes all trainings required by supervisor

● WA State Sexual Misconduct Disclosure Release
