REPORTS TO:      Athletic Director

GENERAL SUMMARY: The High School Athletics Department Administrative Assistant provides comprehensive administrative support to the Athletic Director and coaching staff to ensure the smooth operation of the school's athletic programs. This position is responsible for managing scheduling, communication, record-keeping, and compliance-related tasks. The assistant serves as a key liaison between students, parents, coaches, and school administration, ensuring timely dissemination of information, coordination of events, and adherence to school and district policies. Strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment are essential for success in this role.

ESSENTIAL JOB FUNCTIONS:

Assist athletic director and coaches with scheduling of events, including, but not limited to, contests, banquets, pictures, etc.
Create and maintain necessary forms and documents
Maintain necessary files and schedules
Assist with athletic office communications
Assist with coordinating documents and files, including, but not limited to, rosters, physicals, eligibility, consent forms, pay to play, certificates
Coordinate transportation to and from events as needed
Assist with officials’ contracts
Coordinate building use with the district scheduler
Communicate well with the athletic director, coaches, players, parents, teachers, other administrators, and other stakeholders
Communicate with other schools as needed
Assist with purchase orders, check requests, and other monetary transactions as determined by the athletic director; follow district policies for handling money, including issuing receipts (attached)
Assist with other athletic and main office functions as needed
Assist with ticket taking and after school/evening functions as needed

KNOWLEDGE, SKILLS AND ABILITIES:

Must be proficient working on a computer.
Knowledge of general office practice and procedures.
Knowledge of Skyward, MS Word.
Familiarity with the Google Suite.
Ability to pass secretarial testing requirements.
Ability to maintain confidentiality of classified information.
Ability to communicate with employees, students, and parents in a courteous and professional manner.
Ability to utilize and adapt to new technology.

EDUCATION AND EXPERIENCE:

Associate’s degree preferred or advanced secretarial training. Experience in a secretarial office environment helpful.
