Summary
We are seeking a dedicated and organized individual to join our team at Eaton Rapids High School as a Student Services Secretary. This full-time position plays a crucial role in supporting the administrative functions of the student services department. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask in a fast-paced educational environment. The Student Services Secretary will serve as the first point of contact for students, parents, and staff, ensuring a welcoming and efficient atmosphere.

POSITION: Student Services Secretary

BUILDING: Eaton Rapids High School

DATE OF AVAILABILITY: August 2025

RATE OF PAY: $16.64 Probationary/$16.69 Base

HOURS: 8 hours per day, 46 weeks per year

Duties:

1. Serve as confidential secretary to the student services department

2. Assure that school office procedures and records are handled efficiently and effectively

3. Communicate effectively with students, parents, staff, and the public

4. Complete all reports and recordkeeping functions accurately and in a timely manner

5. Specific responsibilities include but are not limited to the following:

a. Student service department mailings

b. Creation and maintenance of courses within student information system

c. Printing and distributing report cards and progress reports

d. Maintaining CA60’s and student records, including sending and receiving student files for outgoing and incoming students

e. Coordinate new student visits

f. Compile nominations and create certificates/programs for student departmental awards, local scholarship recipients, and other honors as needed

g. Compile reports such as GAD, CRDC, and CTEIS

h. Oversee access to educational records via Parchment

i. Complete paperwork/verification of enrollment for Friend of Court, Social Security, and/or DHS

j. Coordinate with district Enrollment Coordinator on School of Choice approval and enrollment process at ERHS

6. High School Pupil Accounting Coordinator

7. Other duties as assigned by the principal and/or student services department

Required qualifications:

1. High school diploma

2. Desire 2 years of secretarial or office experience, preferably in a school environment

3. Positive, friendly, and helpful manner when interacting in person or on the telephone with students, parents, and staff

4. Superior written and oral communication skills

5. Demonstrated ability to maintain confidentiality

6. Strong keyboarding skills and knowledge of email, internet, and Google Apps.

7. Strong Excel/Google Sheets skills, including the use of formulas, filtering, and sorting

8. Experience in using Skyward student data management system

9. Demonstrated ability to work independently, learn quickly, and adapt to change

10. Strong organizational skills

11. Knowledge of school laws and legal mandates related to student records (FERPA)

12. Ability to establish and maintain effective school records for students (CA-60) personnel, school resources, and equipment

Desired Qualifications:

1. College training

2. First Aid Certification
