The following position is available at Bath Community Schools: POSITION: ADMINISTRATIVE ASSISTANT

HOURS: 8:30 - 2:00 pm (191 days)

SUMMARY: Serves as confidential secretary to the high school principal and high school guidance office to assure the smooth and efficient operation of the high school counselor’s office. To assist in the administration of the counselor’s business affairs, so as to provide the maximum education services for the staff and students of the school district. Acts as liaison between guidance counselor and community, counselor and parents, and counselor and staff. Must have a positive attitude with excellent customer service skills.

ESSENTIAL DUTIES/RESPONSIBILITIES:

● Produces and edits the annual District Newsletter

● Enters all student attendance records into the computer on a daily basis. ● Makes and receives telephone calls, takes messages, routes calls.

● Responds to inquiries from students, teachers, and parents regarding attendance rules, absences, suspension, and enrollment status.

● Serves as confidential secretary to guidance counselor.

● Compiles and submits a variety of weekly, monthly and year end reports as required.

● Greet all visitors. Assists the visiting public utilizing the facilities with directions within the building in a courteous and professional manner.

● Types, prepares, distributes, files records/reports, correspondence, etc. related to building functions and counselor needs.

● Prints attendance letters for tardy and absences.

● Prepares computerized attendance sheets.

● Types, prepares, distributes, files records/reports, correspondence, etc. related to attendance and counseling.

● Distributes mail for the counseling department.

● Tracks athletic eligibility and other duties as requested by the Athletic Director ● Maintains accurate financial records

● Handles money generated by athletics, AP exam fees and other activities ● Assists substitute teachers

● Manages information posted on the school website

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

An Associate’s degree with an emphasis on business administration or secretarial science; and/or 3-5 years satisfactory experience in the secretarial field; or equivalent combination of education and experience. A working knowledge of basic office procedures and the operation of common office equipment and machines.

Demonstrate an ability to operate a computer and related software. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies. Ability to compose business letters and other materials so as to be effective in the promotion of good office procedure and public relations. Knowledge of accounting procedures. Such alternatives to the above qualifications as the principal or superintendent may find appropriate and acceptable. Maintain an attitude of cooperation with all employees, students and parents and be willing to listen to students and to project the belief that our school is for kids.
